Example#

A flat plan at $29 per customer per month with 100 customers, $3 of variable cost per customer and $500 of fixed costs per month, and no payment fees entered, gives a monthly recurring revenue (MRR) of $2,900 and a yearly figure of $34,800. Gross profit is $2,600, a gross margin of about 89.7%, and net profit after fixed costs is $2,100. You break even at 20 customers.

How it works#

text
price per customer = flat price | seat price × seats | unit price × units
                     | base fee + extra-unit price × max(0, units − included)
effective price = price × (1 − annual discount) (annual billing only)
MRR = customers × effective price
gross profit = MRR − payment fees − variable costs
net = gross profit − fixed costs
break-even = fixed costs ÷ (price − fees − variable cost per customer)

Pick a pricing model, enter your price and costs, and the result updates as you type. The growth table repeats the figures at 10, 100, 1,000 and 10,000 customers, plus your own count. Payment fees are zero until you enter your payment provider's percentage and fixed fee. The currency symbol is for display only; nothing is converted.

Assumptions#

  • Steady state: every customer uses the same average amount.
  • Annual billing is shown as its monthly equivalent.
  • Fees apply to each charge: a percentage plus a fixed amount, spread over the months the charge covers.

Use cases#

  • Choosing between a flat, per-seat and usage-based plan.
  • Seeing how much a discount for annual billing costs.
  • Checking whether a price covers hosting, API and support costs.
  • Estimating how many customers you need to cover fixed costs.

Limitations#

The model leaves out churn, taxes and VAT, refunds, free plans and trials, sales commissions and the timing of revenue recognition. It is a planning aid, not accounting or financial advice. If your variable cost per customer is at least your price, break-even is not reachable and the tool says so. Everything you enter stays in your browser.
